Customer Success Portal
Common Wealth Retirement / September 2021
Goals
- Automate manual support tasks within the Customer Success Portal to reclaim developer bandwidth for core feature development.
- Replace fragmented Excel-based trade reviews with a centralized, web-based interface to improve data integrity and audit speed.
- Digitalize the employer onboarding process to remove operational bottlenecks and accelerate the time-to-value for new clients.
The expansion of the internal ecosystem was streamlined by integrating the Customer Success Portal (CSP) directly into the existing monorepo. This architectural approach allowed for immediate code sharing and consistent deployment pipelines, ensuring that the new application could be scaled alongside the core product. To ensure secure and seamless access for internal teams, AWS Cognito was implemented to handle Single Sign-On (SSO) authentication, aligning the portal with enterprise security standards while removing the friction of separate credential management. The development roadmap prioritized high-impact operational "problems" to provide immediate relief to the engineering team. The initial release focused on the Employer Onboarding flow, which had previously required significant manual intervention. By codifying this process within the CSP, the transition from manual data entry to a guided digital workflow drastically reduced the time required to bring new clients onto the platform and eliminated a major source of support tickets. In addition to onboarding, the portal introduced a dedicated module for the review of trade transactions. This feature replaced a fragmented and error-prone process where the support team manually audited trades using Excel spreadsheets. By centralizing transaction data within a web-based interface, the team gained real-time visibility and validation tools, which improved data integrity and accelerated the resolution of transaction-related inquiries. Following the successful rollout of these foundational capabilities, the Customer Success Portal evolved into a first-class citizen within the company’s software suite. It is now a primary focus for ongoing development, receiving regular feature updates that continue to bridge the gap between technical operations and customer service. This evolution has successfully decoupled routine administrative tasks from the core engineering sprint cycle, allowing for more aggressive pursuit of the product's primary feature roadmap.
Outcomes
- Successfully decoupled routine administrative tasks from the development cycle, allowing the engineering team to focus exclusively on high-priority feature delivery.
- Empowered the customer support team to manage employer onboarding and trade reviews independently through the CSP, eliminating the previous "problem" of cross-departmental bottlenecks.
- Replaced manual Excel-based spreadsheet workflows with a centralized, validated system, significantly reducing human error and audit latency in trade transactions.
